Files in Teams: Where Do They Actually Live?

One of the most confusing things about Microsoft Teams is that files shared in a channel and files shared in a private chat are stored in completely different places, and if you don't know which is which, you will waste time looking in the wrong spot. This article explains exactly where every file goes, how to find files that seem to have vanished, and what to do and not do when sharing files in Teams.

 

🧠  The one rule to remember: Channel files live in SharePoint. Chat files live in OneDrive. Everything else follows from that.

 

Part 1: The Complete Picture - Where Every File Lives

⚠️  Why this matters: Files shared in a private chat are stored in your personal OneDrive under a folder called Microsoft Teams Chat. Only the people in that chat can access them. If the team needs the file, it should go in a channel - not a chat.

 

Part 2: Channel Files - Stored in SharePoint

Every Team in Microsoft Teams has a corresponding SharePoint site created automatically behind the scenes. Each channel in that Team maps to a folder in the SharePoint document library. When you upload or share a file in a channel, it goes directly into that folder.

 

What this means in practice

  • All members of the Team can see and access channel files - not just the people who were in the chat when the file was shared.
  • Channel files are permanent - they stay even if the person who uploaded them leaves the Team.
  • Files in a channel can be co-authored in real time by multiple people.
  • Channel files are searchable across SharePoint and Teams search.
  • Deleting a file from the channel Files tab removes it from SharePoint - it goes to the SharePoint Recycle Bin, not the Teams recycle bin or your personal OneDrive Recycle Bin.

 

How to access channel files

  1. In Teams, click the Teams icon in the left navigation bar.
  2. Select the Team and then the channel.
  3. Click the Files tab at the top of the channel. All files ever shared in that channel appear here.
  4. You can also open the folder directly in SharePoint by clicking Open in SharePoint at the top right of the Files tab - this gives you the full SharePoint library view with sorting, filtering, and metadata.

 

💡  The Files tab is a window into SharePoint — not a separate storage system.

Anything you do in the Files tab - upload, rename, delete, move - happens directly in SharePoint. If you or your coworkers sync that SharePoint library to File Explorer, changes show up there too. It is all the same file in one location.

 

Part 3: Chat Files - Stored in OneDrive

When you send a file in a private Teams chat - whether 1:1 or group - Teams uploads it to your personal OneDrive in a folder called Microsoft Teams Chat. A link to that file is what actually appears in the chat.

 

What this means in practice

  • Only the people in that specific chat can access the file - nobody else in the company.
  • If you leave the chat, the other participants may lose access to files you shared.
  • The file lives in your OneDrive, so if you delete it from OneDrive, the chat link breaks for everyone.
  • Chat files do not appear in the channel Files tab - they are completely separate.
  • If the file is important for the team, sharing it in a chat is the wrong place - use a channel.

 

How to find files shared in a chat

  1. In Teams, click the Chat icon in the left navigation bar.
  2. Open the specific chat where the file was shared.
  3. Click the Files tab at the top of the chat window. All files ever shared in this conversation are listed here - even ones shared months ago.

 

How to find Teams chat files in OneDrive

  1. Go to onedrive.com and sign in, or open the OneDrive app.
  2. Look for a folder called Microsoft Teams Chat in the root of your OneDrive.
  3. Inside you will find subfolders - one per conversation - containing all the files you have sent in that chat.

 

⚠️  Don't delete the Microsoft Teams Chat folder. If you delete files from this folder in OneDrive, the links in your chats will break and the other people in the conversation will see an error when they try to open the file. Leave this folder alone and let Teams manage it.

 

Part 4: The Files Tab - Your Central View

In addition to the Files tab inside each channel and chat, Teams has a top-level Files section in the left navigation bar that gives you a combined view across all your recent files.

 

  • Recent: Files you have recently opened in Teams - from channels, chats, and SharePoint.
  • Microsoft Teams: Files organised by Team and channel - a quick way to navigate to channel documents without clicking into each Team separately.
  • Downloads: Files you have downloaded within Teams.
  • OneDrive: Your personal OneDrive files, accessible directly from within Teams.

 

💡  Use Recent to find files fast. If you opened or edited a file in the last few days, the Recent section is the fastest way to get back to it - no need to remember which channel or chat it came from.

 

Part 5: Finding a File Shared Three Weeks Ago

Files shared a long time ago are often still there - you just need to know where to look. Here is a systematic approach:

 

  • If it was shared in a channel: Go to that channel → Files tab. All files ever uploaded to that channel are listed there, regardless of when they were shared. Sort by Date modified to find older files.
  • If it was shared in a chat: Open the chat → Files tab. Same principle - all files from that conversation are listed.
  • If you can't remember where: Use the Teams search bar at the top. Type the file name or a keyword from the file name. Click the Files filter in the search results to show only file results across all your channels and chats.
  • Still can't find it: Check the top-level Files → Recent or Files → Microsoft Teams sections. If it was shared with you recently you will see it there.

 

Part 6: Pinning and Managing Files in a Channel

The Files tab in a channel can become crowded over time. Here are the most useful ways to organise and surface important files.

 

Pinning a file as a tab

  1. In the channel, click the + icon at the top of the screen next to the existing tabs (Posts, Files, etc.).
  2. Search for and select SharePoint or the specific file type (Word, Excel, etc.).
  3. Choose the file you want to pin. It will appear as its own tab at the top of the channel.
  4. Anyone in the channel can now open it directly from the tab - no need to go through the Files tab at all.

 

Creating folders in the channel Files tab

  • Click New → Folder in the Files tab toolbar to create a subfolder - keeps the root of the library clean.
  • Create folders by project, month, or document type - whatever makes sense for your team.
  • Folders you create here appear in SharePoint too, and vice versa - they are the same thing.

 

Moving a file from a chat to a channel

If someone shared an important file in a chat and it should be in a channel instead, the easiest approach is:

  1. Open the chat → Files tab → click the three dots next to the file → Download it.
  2. Go to the appropriate channel → Files tab → Upload and select the downloaded file.
  3. Let the original sender know the file is now in the channel so they can delete the chat copy if desired.

 

💡  There is no built-in Move from chat to channel in Teams. Download and re-upload is the simplest method. Alternatively, open the file from the chat, copy all the content, paste into a new file in the channel - but this loses version history.

 

Part 7: Do This, Not That

 

DO

✅  Upload important files to a channel - they go to SharePoint and the whole team can find them

❌  Share important files only in a chat - they go to OneDrive and are invisible to the rest of the team

✅  Use the Files tab in a channel as a shared document library for your team

❌  Treat a chat as a file storage location - chats are conversations, not repositories

✅  Open files from the Files tab to edit them in the browser

❌  Download files to edit locally and forget to re-upload - the channel version won't have your changes

✅  Pin important files in a channel so they're easy to find

❌  Share a file in a meeting chat if the whole team needs ongoing access to it - use a channel instead

 

Part 8: Why You Shouldn't Store Important Files Only in a Chat

This is worth calling out on its own because it is one of the most common mistakes Teams users make.

 

🔴  Chat files disappear when people leave.

When someone leaves a group chat, they lose access to all the files shared in it. If the person who uploaded the file leaves the company and their OneDrive is wiped, the link in the chat breaks for everyone. Channel files in SharePoint do not have this problem — they belong to the Team, not to any individual.

 

The rule of thumb: if more than two people need a file long-term, it belongs in a channel. If it is a quick temporary share between two people, a chat is fine.

 

Part 9: Troubleshooting

 

Problem

I can't find a file someone shared in a chat 3 weeks ago

Go to the chat → click the Files tab at the top. All files ever shared in that chat are listed there, not just the most recent. You can also search by filename in the Teams search bar.

I deleted a file from a channel and now the team can't find it

Go to the SharePoint site for that Team → Recycle Bin. Channel files deleted from Teams go to SharePoint's recycle bin, not Teams. See the Version History and File Recovery article.

Someone shared a file with me in a chat but I left the chat

The file is in their OneDrive. Once you leave the chat you lose access to files shared in it. Ask the person to re-share the file directly with you, or upload it to a channel where you both have access.

I uploaded a file to a channel but my coworker can't see it

Confirm they are a member of that Team - only Team members can access channel files. If they are a member, check if there is a delay (usually resolves in under a minute). Also check they are looking in the right channel's Files tab.

I can see the file in the Files tab but can't edit it

The file may be open by someone else, or you may only have view permissions on that SharePoint library. Try clicking Open in browser to edit in the web app. If still blocked, contact your franchise owner or IT.

I shared a file in a meeting but can't find it afterward

If it was a private meeting, check your OneDrive → Microsoft Teams Chat folder. If it was a channel meeting, check the channel Files tab.

I need a file from a Team I'm no longer a member of

You lose access to channel files when you leave a Team. Ask a current member to share the specific file with you, or contact IT if it is business-critical content you need ongoing access to.
