Setting Up Email on Your Phone

Getting your work email on your phone keeps you connected when you're away from your desk. This article covers two setup methods — the Outlook mobile app (recommended for all users) and the built-in Exchange account setup for those who prefer the native mail app on iPhone or Android.

 

Which App Should I Use?

The short answer: use the Outlook mobile app. Here's why:

Part 1: Setting Up Outlook Mobile on iPhone (iOS)

 

🍎  iPhone Setup

Works on iPhone and iPad running iOS 16 or later.

 

Step 1: Download the Outlook app

  1. Open the App Store on your iPhone.
  2. Search for Microsoft Outlook.
  3. Tap Get to download and install the app published by Microsoft Corporation.

 

Step 2: Sign in with your work account

  1. Open the Outlook app.
  2. Tap Get Started (first time) or tap your profile picture → Add Account if you already use Outlook for personal email.
  3. Enter your full work email address (e.g. [email protected]) and tap Add Account.
  4. You will be redirected to the Microsoft sign-in page. Enter your password.
  5. Complete the MFA prompt - approve the notification on your Authenticator app or enter the code sent to your phone.
  6. Tap Maybe Later or Allow when asked about additional setup options.
  7. Your inbox will begin loading within a few seconds.

 

Step 3: Allow notifications

  1. When prompted, tap Allow to enable notifications so you receive alerts for new emails.
  2. If you missed this prompt, go to your iPhone Settings → Notifications → Outlook and turn on Allow Notifications.

 

Part 2: Setting Up Outlook Mobile on Android

 

🤖  Android Setup

Works on Android 10 or later. Steps may vary slightly by manufacturer (Samsung, Google Pixel, etc.).

 

Step 1: Download the Outlook app

  1. Open the Google Play Store on your Android device.
  2. Search for Microsoft Outlook.
  3. Tap Install to download the app published by Microsoft Corporation.

 

Step 2: Sign in with your work account

  1. Open the Outlook app.
  2. Tap Get Started or Add Account if you already have Outlook set up.
  3. Enter your full work email address and tap Continue.
  4. You will be redirected to the Microsoft sign-in page. Enter your password.
  5. Complete the MFA prompt - approve the Authenticator notification or enter the SMS code.
  6. If prompted to set up additional features (like adding a personal account), tap Skip or Maybe Later.
  7. Your inbox will begin syncing within moments.

 

Step 3: Allow notifications and permissions

  1. Tap Allow when Outlook requests notification permissions.
  2. Outlook may also request permission to access your contacts and calendar — tap Allow for both to enable full sync.
  3. If you denied these during setup, go to your phone's Settings → Apps → Outlook → Permissions and enable Contacts, Calendar, and Notifications.

 

Part 3: Notification Settings

Getting notifications right prevents two problems: missing important emails and being buried in constant alerts. Here are our recommended settings for the Outlook mobile app:

💡  Focused Inbox: Outlook's Focused Inbox automatically sorts your most important emails into the Focused tab and everything else into Other. It learns over time. If an important email lands in Other, tap and hold it → Move to Focused to teach Outlook your preferences.

 

Part 4: Accessing Shared Mailboxes on Mobile

If you have access to a shared mailbox (such as a team inbox or a location email address), you can add it to Outlook mobile.

 

iPhone and Android — same steps

  1. Open the Outlook app and tap your profile picture or initials in the top left.
  2. Tap Add Mail Account → Add a Shared Mailbox.
  3. Enter the shared mailbox email address and tap Add Account.
  4. The shared mailbox will appear as a separate inbox in your Outlook app.

 

⚠️  Access required: You must already have been granted access to the shared mailbox by IT before this will work. If you get an error, contact IT to confirm your permissions are set up correctly.

 

Part 6: Common Setup Issues

 

  • "Your account doesn't support this" or "Can't verify account": This usually means your account needs MFA set up before mobile access is allowed. Complete MFA enrollment on a computer first (see the Setting Up Microsoft Authenticator article), then retry.

 

  • Password keeps getting rejected: Make sure you're using your current work password. If you recently reset it, use the new one. If the problem persists, your account may be locked — see the Resetting Your Password article.

 

  • MFA prompt isn't arriving: Check that your Authenticator app is working and that your phone has an internet connection. Alternatively, choose the SMS text code option instead.

 

  • Email set up but not syncing: Check that your phone has an internet connection. In Outlook, pull down on the inbox to force a manual refresh. If still not syncing, remove the account and re-add it.

 

  • Prompted to install Company Portal repeatedly: Install and complete the Intune enrollment — this is required by IT policy and won't go away until it's done. Contact IT if you're stuck in a loop.
